Community Watch Party / Family Game Night

Offseason and deep winter, or any big championship broadcastBest for: every sport and booster club

Open your gym, field, cafeteria, or clubhouse for a movie night, a championship watch party, or a multi-station family game night. Admission, concessions, sponsors, and a raffle stack into one low-cost evening that works when nothing else is happening.

Why it works

The offseason is when programs go quiet and fundraising stops, and this fills that hole with an evening families genuinely want. Your venue is free, the entertainment is a screen or a stack of board games, and nearly every dollar through the door is margin.

How to run it

  1. 1

Sort out the licensing before anything else. Showing a movie or broadcast to the public, even free, generally needs a public performance license, and commercial broadcasts carry their own restrictions. Schools and libraries sometimes hold a blanket license already, so ask your administration first; otherwise a one-title license is inexpensive and easy to buy. A board-game night avoids this entirely.

  2. 2

Lock the venue and the date in writing, including who opens and closes, what the custodial cost is, and whether outside food is allowed.

  3. 3

Pick the format that fits your community: a family movie projected in the gym, a watch party for a championship or an alumni game broadcast, or a game night with stations (board games, cornhole, video-game brackets, a craft table for little kids).

  4. 4

Create a Ticketed Event for admission, priced per family rather than per head so nobody does math at the door. $20 a family fills a gym faster than $7 a person.

  5. 5

Run the concession stand, this is where the real money is. Popcorn, candy, hot chocolate, and pizza at a family movie night routinely out-earn admission.

  6. 6

Sell a presenting sponsor and station sponsors. A local business will happily cover the pizza or put their name on the cornhole bracket for a mention and a sign.

  7. 7

Add a prize raffle of donated baskets, and a small silent auction if you have a few good items sitting around from another event.

  8. 8

Put the live board on the screen before the movie starts and at the break: the total climbs as gifts land, with a thank-you ticker across the top and the QR to give right there. Print that same QR for the table tents so anyone can follow along on their own phone. Half the room came to support the team, they just need somewhere to tap.

  9. 9

Load your contact list and let the built-in email + text sequence do the reminding (Write with AI drafts the messages), most gifts arrive on the second or third touch.

Responsibilities

Who does what, and when, so nothing slips.

You (organizer)
  • Clear the licensing and the venue in writing before you promote anything.
  • Set up admission, the concession stand, sponsors, and the raffle, then publish and share the link.
  • Get the donation QR on the screen and on the tables.
Volunteers
  • Staff the door, run the concession stand, and manage the game stations.
  • Set up and break down the room.
Families
  • Buy a family admission, bring another family, and spend at the stand.

Before you run a raffle

Showing a movie or a commercial broadcast to a public audience generally requires a public performance license even when admission is free, and sports broadcasts often carry extra restrictions on public exhibition. Check whether your school or venue already holds a blanket license, and buy a one-title license if not. Get the venue's written approval for the date and the setup, and confirm your state's raffle rules before selling raffle tickets. A board-game night with no screen sidesteps the licensing question entirely.
